Privacy Policy

Effective Date: April 14, 2026 · Last Updated: April 14, 2026

This Privacy Policy explains how GoUltra Systems LLC ("MendPDF," "we," "us," or "our") collects, uses, discloses, and otherwise processes personal information in connection with the MendPDF website, applications, tools, communications, and related services (collectively, the "Services").

MendPDF is a privacy-first document platform. For core local-first tools, document processing is designed to occur in the user's browser on the user's device, rather than by uploading the document to MendPDF servers for processing. This Privacy Policy still applies to the personal information we collect around the Services, including website operations, contact requests, optional accounts, transaction records, security logs, and any feature that uses a relay or third-party service component.

2. Scope

This Privacy Policy applies to personal information collected: (a) when you visit or use our Services; (b) when you contact us or request support; (c) when you create an account, if account functionality is offered; (d) when you interact with our transactional or marketing communications; (e) when you use any feature that relies on a temporary relay, such as Magic Scan; and (f) when we otherwise interact with you in a business or commercial context.

This Privacy Policy does not apply to third-party websites, products, or services that are linked from our Services and are governed by their own terms and notices.

3. Information we collect

Depending on how you use the Services, we may collect the following categories of personal information:

(a) Contact and identity data, such as name, email address, company name, inquiry type, and communication contents.
(b) Account data, such as username, login identifiers, authentication metadata, and account preferences, if accounts are offered.
(c) Billing and transaction data, such as subscription status, invoices, and payment-related metadata. MendPDF does not store full payment card numbers.
(d) Device, browser, and usage data, such as IP address, browser type, device type, operating system, timestamps, referring pages, language settings, and similar operational telemetry.
(e) Security and anti-abuse data, such as rate-limit events, fraud-prevention signals, and diagnostic logs.
(f) Temporary relay data for explicitly identified features, such as scan-transfer payloads handled by an encrypted relay for a short transfer window.
(g) Cookie and similar-technology data, subject to your settings and applicable law.
(h) Communications data, including support messages, feedback, and transactional-email interaction metadata.
(i) Any other information you choose to provide to us.

For core local-first tool flows, the document itself is designed to remain on your device and not be uploaded to MendPDF servers for processing.

4. Sources of information

We collect personal information: (a) directly from you; (b) automatically from your browser or device when you interact with the Services; (c) from service providers that support website operations, communications, security, analytics, authentication, hosting, or payments; (d) from business partners or referral sources, where applicable; and (e) from publicly available sources, where lawful and relevant.

5. How we use personal information

We may use personal information to: (a) provide, operate, maintain, secure, and improve the Services; (b) respond to inquiries, support requests, and business communications; (c) send transactional communications, such as confirmations, acknowledgements, security notices, and service updates; (d) authenticate users and manage accounts, if offered; (e) detect, prevent, investigate, and address abuse, fraud, security incidents, and technical issues; (f) comply with legal obligations and enforce our Terms of Service; (g) analyze performance and product usage in a privacy-conscious manner; (h) market our Services where permitted by law and subject to your preferences; and (i) protect our rights, users, and the public.

6. Legal bases for processing (EEA / UK / Switzerland)

If you are in the EEA, UK, or Switzerland, we rely on one or more of the following legal bases: (a) performance of a contract or steps taken at your request; (b) our legitimate interests, such as securing the Services, preventing abuse, and improving performance, where those interests are not overridden by your rights; (c) compliance with legal obligations; and (d) consent, where required by law.

7. Cookies and similar technologies

We use Google Analytics 4 (provided by Google LLC) to understand how visitors use our website. Google Analytics collects information such as pages visited, time on page, browser type, device type, and approximate location derived from IP address. This data helps us improve the Services and understand which features are most useful. Google Analytics may set cookies on your browser. You can learn more about how Google uses data at policies.google.com/technologies/partner-sites. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on. Where required by law, we will ask for consent before using non-essential cookies.

8. Disclosures to third parties

We may disclose personal information to: (a) vendors and service providers that help us operate the Services, including Google LLC (Google Analytics for website usage analysis), Cloudflare Inc. (hosting, security, and Turnstile verification), and Resend (transactional email delivery); (b) professional advisers, auditors, insurers, and legal counsel; (c) affiliated entities; (d) authorities, regulators, or law enforcement where required by law; (e) transaction counterparties in a merger, acquisition, or sale of assets; and (f) other parties with your consent. MendPDF does not sell personal information or share personal information for cross-context behavioral advertising.

9. International transfers

MendPDF is a U.S.-based company. Personal information may be processed in the United States and other countries where MendPDF or its service providers operate. Where applicable law requires safeguards for international transfers, MendPDF will use an approved transfer mechanism.

10. Data retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy. For core local-first tools, the document stays in your browser and is not retained by MendPDF. Temporary relay payloads are deleted according to the published transfer window (approximately 60 seconds). Contact and support records are retained for business-record purposes. Security logs are retained for fraud prevention and system integrity.

11. Data security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information. No system can guarantee absolute security. You are responsible for safeguarding your own devices, browser environment, credentials, and downloaded files.

12. Your rights

Depending on where you live, you may have rights such as: (a) access to personal information; (b) correction of inaccurate information; (c) deletion; (d) objection to or restriction of certain processing; (e) portability; (f) withdrawal of consent; (g) appeal rights under U.S. state law; and (h) the right not to be discriminated against for exercising privacy rights.

To exercise rights, contact us at info@mendpdf.com. We may need to verify your identity before fulfilling a request.

13. Children

The Services are not directed to children under 13, and MendPDF does not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us at info@mendpdf.com.

14. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and update the "Last Updated" date.
